BILLINGS AND RECEIVABLES CLERK

The Caribbean Maritime University (CMU), the only specialized maritime university in the English-speaking Caribbean is inviting applications for the post of BILLINGS AND RECEIVABLES CLERK (Level 3).

JOB SUMMARY

Under direction from the Senior Manager, Billings and Collection, the Billings and Receivables Clerk assists the Senior Billings and Collection Officer and the Billings and Collection Officer to maintain accurate account receivable records contained in the accounts receivable system. The incumbent is point of contact for internal and external customers.

Key Outputs:

-Students are invoiced

-Student accounts are accurately reconciled

-Customer queries are responded to in a timely manner

-Document requests are processed

PRIMARY RESPONSBILITIES

-Reconciles payments made to Paymaster.

-Prepares invoices requested by Document Request for status letters and transcripts.

-Updates spread sheet maintained of Graduate Masters Student Accounts Receivables.

-Adjusts accounts of Graduate Masters students as required.

-Processes refund requests from students.

-Analyses student accounts.

-Prepares statement of account for each refund request.

-Adjusts student account as required, for tuition fees and auxiliary fees.

-Acts as relief cashier.

-Responds to student queries via email and by telephone.

-Prepares invoices for redo and re-sits courses once, students are registered.

-There may be additional duties in accordance with improved or enhanced organization wide goals and objectives.

-Records are kept secured and are accessible.

-Accounting documents are provided to appropriate senior officials in a timely manner.

-Reports are accurate and comprehensive.

REQUIRED KNOWLEDGE & EXPERIENCE

-An Associate’s degree in Management Studies or related area.

-At least two (2) years’ experience in related area.

-High proficiency in Microsoft Suite with above average knowledge of Excel

-Ensure payments made by students and updated to student accounts on a timely basis and unidentified payments are identified and investigated.
