STUDENT AFFAIRS OFFICER – WESTERN CAMPUS
The Caribbean Maritime University (CMU), the only specialized maritime university in the English-speaking Caribbean, is inviting applications for Student Affairs Officer Level 5.
Job Purpose
Under the direction of the Director of Operations the Student Affairs Officer facilitate a smooth transition of students to university life. The incumbent will contribute to the achievement of the University’s student relations and recruitment targets. The Student Affairs Officer also ensures planned and coordinated approach is taken to retain students on programmes each year and to maximize the numbers who progress to the next stage on their programme.
Key Outputs:
-Programme and system to support student activities executed.
-Information collated to appropriately respond to student issues and concerns.
-Addressed student queries and escalated to the relevant officers
-Collaborated with departments/units to ensure a coordinated approach for student recruitment and retention activities
-Maintained student records and reports provided.
-Served as the point of contact for enrolled and prospective student information.
-Liaised with the Alumni Coordinator to establish and maintain useful contacts in support of student enrolment and recruitment activities.
-Collaborated with functional teams to meet deadlines and to develop strong working relationships with staff throughout the University and other stakeholders.
-Successful execution of students’ welfare programmes, earn and learn, PATH programme, lunch subsistence.
-Distribution and collection of health insurance application forms and cards executed in a timely manner.
Key Responsibility Areas:
– Collaborates with the Director of Operations to develop programmes to engage students and provide opportunities for current students to interact with alumni and stakeholders.
-Develop innovative approaches, techniques to provide more efficient services to students
-Ensures the maintenance of student non-academic records.
-Supports the review and update of the applicable services and programmes.
-Maintains optimum customer service levels.
-Engages in student advocacy, leadership, staff development, strategic planning, student accountability, and campus culture.
-Coordinates application process for awards, scholarships and fellowships.
-Distributes application forms and provides information on procedures and deadlines.
-Verifies that student files are complete and, as required, ensures necessary linkage with admissions process.
-Collaborate with the Students’ Union executives on student-related activities and events.
-Demonstrates working knowledge of the relevant policies and procedures.
-Performs general administrative functions such as preparing reports, correspondence and filing using appropriate electronic equipment where applicable.
-Implements initiatives to support student engagement, identifying and addressing factors that may affect retention, and maximizing the number of students who successfully progress to the next stage of their programme each year.
-Maintains broad working relationships with students, staff personnel, academic personnel, officials of external agencies and general public.
-Prioritizes conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressure.
-Organises, maintain, upload and manipulates information on manual and electronic databases according to set procedures.
-Students’ documents and other information are appropriately safeguarded and are forwarded to the correct units on a timely basis.
-Files are well organised, current and easily retrievable.
-Maintains confidentiality to sensitive information and keeps account of student complaints, disciplinary records, program assessment documents and other student inquiry contact.
-Identifies and recommends improvements for administrative procedures and/or makes evaluative judgments in implementing changes as appropriate.

-prepares mailing lists and dispatching necessary or helpful documentation to prospective and enrolled students
-Drafts responses to routine matters in accordance with established guidelines.
-Supports the organisation of special functions such as department meetings, student functions, guest lectures, conferences, etc.

-Knowledge of the university courses, programmes and admissions procedures.
-Proficiency in the use of computer software applications.

-Ability to work well in a team
-Good events planning and management skills
Minimum Required Education and Experience
-A Bachelor of Arts/Science Degree in Administrative Management/Business Administration or related areas.
-At least three (3) years’ experience working within a similar capacity.
-Proficient in Microsoft Office applications and other supporting technologies
